These Terms of Service ("Terms") govern your access to and use of WordBeam, operated by PoliLingua ("WordBeam", "we", "us"). By creating an account or using the service, you agree to these Terms. If you do not agree, do not use the service.

Your account

You must provide accurate information when you register and keep your credentials confidential. You are responsible for all activity under your account. You must be at least 18 years old, or the age of majority in your jurisdiction, to use WordBeam.

Use of the service

You may use WordBeam to translate, manage, and localize content that you own or have the right to process. You agree not to misuse the service, including by attempting to disrupt it, reverse-engineer it, access it through unauthorized means, or use it to process unlawful content.

Your content

You retain all rights to the content, translation memories, and glossaries you upload. You grant us a limited licence to host and process them solely to provide the service to you. Your translation memory and glossaries remain private to you and are never used to train third-party models. You are responsible for ensuring you have the rights to the content you upload.

Pricing and payment

WordBeam is pay-as-you-go, billed monthly, with usage-based charges for machine translation, storage, and vendor spend. Your first 10,000 words are free. Fees are charged to your chosen payment method. Except where required by law or stated in our Refund Policy, payments are non-refundable. We may change pricing with prior notice; changes apply to future billing periods.

Cancellation

You may cancel at any time. Cancellation stops future charges; it does not entitle you to a refund of fees already incurred, except as set out in our Refund Policy.

Availability

We work to keep the service available and secure, but we do not guarantee uninterrupted or error-free operation. We may modify, suspend, or discontinue features with reasonable notice where practicable.

Intellectual property

WordBeam, its software, and its branding are owned by us and our licensors. These Terms do not grant you any rights to our trademarks or to the underlying software beyond the right to use the service as intended.

Disclaimers and liability

The service is provided "as is" and "as available" without warranties of any kind, to the maximum extent permitted by law. To the extent permitted by law, we are not liable for indirect, incidental, or consequential damages, and our total liability is limited to the amount you paid us in the twelve months before the claim.

Termination

We may suspend or terminate your access if you breach these Terms or use the service unlawfully. You may stop using the service and close your account at any time.

Changes to these Terms

We may update these Terms from time to time. If we make material changes, we will notify you. Your continued use of the service after changes take effect constitutes acceptance of the updated Terms.

This Refund Policy applies to all services offered through WordBeam, operated by PoliLingua. We rely on this policy to ensure our clients’ satisfaction.

Cancellation Policy

Once your order is confirmed, we engage a translator promptly to deliver the project within the time required. If something occurs and you wish to cancel your order, please notify us immediately. A full refund will be granted if your project has not yet been assigned. Regrettably, we cannot issue a refund once a translator has been engaged. Please note that we typically assign projects immediately upon order receipt.

Partial Cancellation

We allow partial cancellations for certain services that are no longer required, if the following conditions are met:

  • The request has not been executed, such as a hard copy where an electronic version suffices. A refund for the hard-copy cost can be provided if the translation has not been dispatched.
  • The cancellation request is submitted via email to the person in charge of your project.

Interpretation Services

Please be aware of our cancellation policy for interpretation services:

  • Cancellations made within 3 days of the project will incur a 50% cancellation fee.
  • Cancellations made within 24 hours of the scheduled job will result in a 100% cancellation fee.

Edits

Requests for edits involving name spellings, word preferences, or synonyms not initially provided during the translation order, as well as corrections for unclear words identified during a scan, are accepted. We promptly address such edit requests, and you can request edits as often as necessary. Please note that edit requests do not qualify for cashback or refunds.

Mistranslations or Errors

Our commitment is to consistently deliver accurate translations, and we maintain a quality-control process to keep our work free from errors. If you come across any mistranslation or error in your translated document, please inform us immediately so we can rectify the issue.

Provisions

  • Refunds will not be issued if you did not provide word preferences or name spellings in advance.
  • If a mistranslation or error is due to our oversight and failure to meet quality standards, you can reject the translation and request a refund.
  • Refunds will be considered if an error resulted from our failure to adequately proofread the translated document. The refund amount will be determined based on the degree of compromised quality. We are not liable beyond correcting errors or providing refunds.

Missing Pages

Despite our rigorous quality-control process, instances of missing sections or pages may occur. If you receive a translation with omissions, promptly notify us via phone, email, or online chat and we will rectify the omission. You can choose to reject the translation of the missing part or request a partial refund proportional to the missing content. If you do not provide a clear scan of the source document, or have not opted for desktop publishing (DTP), we cannot ensure an exact format match with the original; in such cases refunds cannot be provided, and a plain-text translation will be offered if the scanned image is unclear.

Delivery Delays

To ensure accuracy, each translation project undergoes strict workflow and quality-assurance procedures. Our delivery times, based on 2,000 words per day, are specified in each quote. Conditions for refunds due to delivery delays are:

  • Less than 12 hours’ delay from the agreed time: 10% refund.
  • Delays exceeding 24 hours from the agreed submission time: 15% refund.
  • Projects exceeding 5,000 words are subject to individual discussion.
